The four signals worth measuring
1. Overlapping jobs nobody caught in time
Count how many times a month you discover an overlap (the same driver assigned to two jobs they can't physically cover, or the same vehicle needed in two places) after it's already a problem, not before. A spreadsheet doesn't warn you about a scheduling conflict: it only shows it if someone looks at exactly the right moment and does the mental cross-check themselves. 2. Drivers asking for their own schedule

3. Unreconciled payments

If it takes more than a couple of minutes per job to reconstruct that answer, you don't have reconciliation: you have a manual rebuild that someone does, underpaid and resentful, once a month.
4. Lost or duplicated bookings
A booking that comes in over WhatsApp, gets written into the spreadsheet, but falls through the cracks between two tabs or two people managing the same number, is a booking that can end up with no driver assigned on the day, or assigned twice. Why the problem isn't volume, it's the lack of validation

If that number is above five or six hours a week, that person isn't managing the fleet: they're acting as a manual relay between systems that don't talk to each other. That's time that could go toward negotiating a new hotel partnership or reviewing margins, not forwarding messages.

Run last month's operation through these four signals, with real numbers, not the feeling that things are "more or less fine."
